  • security information;

Where you consent to optional analytics, we may also process information about how the website is used, such as pages viewed, navigation and general usage information.

6. Please do not send patient or sensitive information unnecessarily

Our general website contact facilities are intended for business, product, service and professional enquiries. They are not intended as a means of sending patient records, clinical records or other unnecessary special category personal data.

Please do not include patient-identifiable information, medical records or other sensitive personal information in a general website enquiry unless it is genuinely necessary and an appropriate means of communication has been agreed.

If we receive sensitive information unexpectedly, we will limit our use of it to what is necessary and handle it in accordance with applicable law.

7. How we use personal data and our lawful bases

We only process personal data where we have a lawful basis for doing so.

Responding to enquiries and managing business relationships

We use personal data to:

  • receive and respond to enquiries;
  • provide requested product, technical or service information;
  • communicate with dealers, dental professionals, dental technicians and other business contacts;
  • understand the nature of an enquiry;
  • follow up correspondence;
  • arrange discussions, support or services; and
  • establish and maintain business relationships.

We generally rely on our legitimate interests in operating our business, responding to people who contact us and maintaining appropriate professional and commercial relationships.

Where processing is necessary to take steps at your request before entering into a contract, or to perform a contract with you personally, we may instead rely on contract.

Understanding how people find us

Where you tell us how you heard about Swiss Technologies, we may use that information to understand which sources, communications and business-development activities are effective.

Our lawful basis is our legitimate interests in understanding and developing our business.

Website operation, security and abuse prevention

We process technical information where necessary to:

  • deliver the website;
  • maintain security;
  • diagnose faults;
  • protect forms and systems from automated abuse, spam or malicious activity;
  • maintain appropriate records; and
  • protect our legal and business interests.

Our lawful basis for the associated personal-data processing is generally our legitimate interests in operating and securing our website and systems. We may also process information where necessary to comply with a legal obligation.

Optional analytics

We use Vercel Analytics only after you have given the relevant consent through our cookie controls.

We use analytics information to understand, in general terms, how visitors use the website and to help us assess and improve its operation and content.

Where consent is required for the relevant storage, access or personal-data processing, our lawful basis is consent.

You can refuse or later withdraw this consent without preventing you from using the essential parts of the website.

Live chat

We use Zoho SalesIQ for website live-chat functionality. It is only activated after you accept the relevant optional cookies or similar technologies.

Our lawful basis for activating this optional functionality and associated processing is consent where consent is required.

If you then start a chat with us, we also process the information you provide in order to respond to your enquiry. Depending on the circumstances, this may be based on our legitimate interests, steps taken at your request before a contract, or contract.

Updates and marketing

The website allows you to choose whether to receive updates from Swiss Technologies.

Where you actively choose to subscribe through the website, we rely on your consent to use the relevant personal data for those updates.

You can withdraw your consent at any time by using the unsubscribe facility provided in our communications or by contacting us.

Withdrawal of consent does not affect processing that was lawful before consent was withdrawn.

Legal and regulatory purposes

We may process personal data where necessary to:

  • comply with applicable laws and regulatory requirements;
  • respond to lawful requests from public authorities;
  • establish, exercise or defend legal claims;
  • prevent or investigate fraud, misuse or unlawful activity; or
  • protect our rights, property, systems or users.

Depending on the circumstances, the lawful basis may be a legal obligation or our legitimate interests.

8. Our legitimate interests

Where we rely on legitimate interests, those interests may include:

  • operating Swiss Technologies Ltd effectively;
  • responding to business and professional enquiries;
  • providing appropriate customer, technical and service communications;
  • developing and maintaining commercial relationships;
  • understanding how people discover our business;
  • maintaining the security and integrity of our website and systems;
  • preventing misuse, fraud and spam;
  • keeping appropriate business records; and
  • establishing, exercising or defending legal rights.

We consider whether our interests are proportionate and whether they are overridden by the rights and interests of the individual concerned.

9. Updates and Mailchimp

If you choose to subscribe to updates, we use Mailchimp to manage the relevant mailing list and communications.

Depending on the information you provided with your subscription, information sent to Mailchimp may include:

  • your email address;
  • first name;
  • last name;
  • business type;
  • company name, where provided; and
  • telephone number, where provided.

We use this information to maintain the subscription, send the updates you requested and understand the relevant audience for our communications.

Subscription is optional. Choosing not to subscribe does not prevent you from submitting an enquiry.

You may unsubscribe at any time.

We may retain a limited suppression record after you unsubscribe where necessary to ensure that your preference continues to be respected.

10. Cookies and similar technologies

Our website uses cookies and similar technologies.

Necessary technologies

Technologies that are strictly necessary for the website to operate, remain secure, process your requested actions or remember your privacy choices may operate without optional-cookie consent.

These may be used for purposes such as:

  • website and application security;
  • form security;
  • fraud and abuse prevention;
  • maintaining essential session functionality; and
  • remembering your cookie or privacy choices.

Blocking necessary technologies may prevent parts of the website from working correctly.

Cloudflare Turnstile

We use Cloudflare Turnstile to help protect website forms from bots, spam and automated abuse.

Turnstile may process technical information and signals relating to your browser or device and generates a verification token which our website checks before accepting a protected form submission.

We use Turnstile for website and form security rather than advertising or marketing.

Optional technologies

Our optional website services currently include:

  • Vercel Analytics — website usage and analytics; and
  • Zoho SalesIQ — live chat and associated visitor/session functionality.

These optional services are only activated after you give the relevant consent through our cookie controls.

You can reject optional technologies and continue to use the essential parts of the website.

You can also change or withdraw your consent through the cookie controls provided on the website. Withdrawal applies to future processing and does not make earlier processing unlawful.

11. Contact-form delivery

When you submit our contact form, the information is transmitted to us so that we can deal with your enquiry.

We currently use Resend as an email-delivery provider to send the enquiry to the appropriate Swiss Technologies mailbox and to send a confirmation to the email address you provided.

The form is also protected using Cloudflare Turnstile.

We do not use the contact form to collect online payment-card information or to create an online checkout transaction.

12. Website hosting

Our website uses infrastructure provided by Vercel.

As part of providing and securing the website, Vercel's infrastructure may necessarily process technical request information such as IP addresses, request information, timestamps, device or browser information, diagnostic data and security information.

This essential hosting activity is separate from Vercel Analytics. Vercel Analytics is treated by us as an optional service and is not activated until you have given the relevant consent.

13. Who we share personal data with

We do not sell personal data.

We may disclose personal data where reasonably necessary to the following categories of recipient:

  • website hosting and infrastructure providers;
  • email and communications providers;
  • Mailchimp, where you have subscribed to updates;
  • Zoho SalesIQ, where you consent to and use live chat;
  • Cloudflare, for Turnstile form-security functionality;
  • professional advisers such as accountants, lawyers, insurers or consultants where necessary;
  • public authorities, regulators, courts or law-enforcement bodies where disclosure is required or permitted by law; and
  • other service providers acting on our behalf where reasonably necessary for the purposes described in this notice.

Service providers that process personal data on our behalf are expected to handle it only for the relevant purpose and subject to appropriate contractual and security requirements.

14. Dassym SA

Dassym SA, the manufacturer of Dassym dental medical devices, is a separate organisation from Swiss Technologies Ltd (see section 1 above).

Where a product, technical or other enquiry genuinely requires information or assistance from the manufacturer, it may be necessary for us to provide relevant information to Dassym SA.

We will limit any such disclosure to information reasonably necessary for the particular purpose.

Dassym SA is responsible for its own processing of personal data that it receives or collects in its own capacity.

15. International transfers

Some of the organisations that provide services to us, and Dassym SA, may be located outside the United Kingdom or may use systems on which personal data is processed outside the United Kingdom.

Where personal data is transferred internationally, we take steps to ensure that the transfer is permitted under UK data protection law.

Depending on the circumstances, this may involve an applicable UK adequacy regulation, contractual safeguards approved or recognised under UK law, or another lawful transfer mechanism.

We also consider the nature of the information, the purpose of the transfer and the safeguards applied by the recipient.

16. How long we keep personal data

We do not keep personal data for longer than we reasonably need it.

The appropriate retention period depends on the purpose for which the information was collected and may take account of:

  • whether an enquiry is still active;
  • whether a business or service relationship follows from the enquiry;
  • the nature of the correspondence;
  • legal, accounting, regulatory or contractual requirements;
  • applicable limitation periods;
  • the need to establish, exercise or defend legal claims;
  • security and fraud-prevention requirements; and
  • whether you remain subscribed to updates.

Contact correspondence may therefore be retained for an appropriate period as part of our ordinary business records where there is a legitimate reason to do so.

Marketing subscription information is normally retained while you remain subscribed. If you unsubscribe, we may retain sufficient information on a suppression list to make sure that we continue to honour your preference.

Technical and security data is retained only for as long as reasonably required for the relevant operational, diagnostic or security purpose, subject to the retention arrangements of the service provider concerned.

When personal data is no longer required, we delete it, anonymise it or otherwise cease to retain it where appropriate.

17. Keeping information secure

We take appropriate technical and organisational measures designed to protect personal data against accidental or unlawful loss, misuse, alteration, disclosure or access.

Measures are selected having regard to the nature of the information, the way it is processed and the risks involved.

No internet or electronic communications system can be guaranteed to be completely secure, but we take reasonable steps to protect the information for which we are responsible and to use reputable service providers with appropriate safeguards.

18. Your data protection rights

Depending on the circumstances and the lawful basis on which your personal data is processed, UK data protection law may give you rights including:

  • the right to be informed about how your personal data is used;
  • the right of access to personal data we hold about you;
  • the right to rectification of inaccurate or incomplete personal data;
  • the right to erasure in applicable circumstances;
  • the right to restrict processing in applicable circumstances;
  • the right to data portability in applicable circumstances;
  • the right to object to certain processing, including processing for direct marketing; and
  • the right to withdraw consent at any time where processing is based on consent.

These rights are not absolute and different rights apply in different circumstances.

If you object to the use of your personal data for direct marketing, we will stop using it for that purpose.

To exercise a data protection right, contact us using the details in section 21 below. We may need to ask for enough information to verify your identity and understand your request.

We will deal with requests in accordance with the applicable statutory requirements and timescales.

19. Data protection complaints

If you believe that we have not handled your personal data properly, you have the right to make a data protection complaint to Swiss Technologies Ltd.

You can do this by:

  • emailing contact@swisstechnologies.co.uk;
  • using our /contact form;
  • writing to our registered office; or
  • contacting us using the telephone details in section 21 below.

Please state that your message is a data protection complaint so that it can be identified and handled appropriately.

We will acknowledge a data protection complaint within 30 days of receiving it.

We will take appropriate steps to investigate the complaint without undue delay, keep you informed as appropriate and tell you the outcome.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection supervisory authority.

We would welcome the opportunity to consider your concern directly, but contacting us first does not remove your right to approach the ICO.

20. Children

Our website is intended principally for businesses, dental professionals, dental technicians, dealers and other professional or commercial users.

It is not designed as a service for children and we do not knowingly seek to collect personal data from children through the website.
